Online bookings are the method used to add incremental users to online products, with the requirement that orders be sent monthly (to activate incremental users on the Microsoft portal). In this method, payment is deferred to the next date of the anniversary of the contract. Note that Microsoft does not allow license bookings to be added in the last month of the agreement. While most customers know how many users they need in the past month (and request a new booking in the penultimate month of check-in), customers can sometimes expect extended negotiations that can go beyond the expiry date of the agreement. If you think this can happen with your organization (this is not very unusual), it will be important to file a reservation in the penultimate month in order to cover your run rate for the last month and perhaps the first month of the renewal agreement. Of course, you only pay until the end of the current registration period, but you have the advantage of being able to add these incremental users last month to the registration to flood you for the last month, and perhaps the first month of the extension period while you are still negotiating your extension agreement. You have two options for the volume of RIs: a group or single subscription. The unlocked option is provided by the RI for all subscriptions in your enterprise agreement, which increases the likelihood that the IR will be used. Note the use of the word “in” 30 days before the expiration date versus “by.” Microsoft frequently (in error) uses this latter interpretation and informs customers of this statement, which means that the report is due 30 days before the contract expires. While it is reasonable for Microsoft to understand last year`s growth in order to prepare a customer price sheet for the renewal contract, your obligation is simply to submit before the contract expires. In your list of business agreements for licensing, select the active agreement to continue booking online, then click Continue. At that time, the only improvement in the type of monthly pricing, which allowed customers to add new users in the middle of an agreement, to pay only for the number of months remaining until the anniversary of that agreement, and then to pay the annual amount for subsequent years. It is interesting to note that Microsoft has not provided an option to reduce the number of users in the middle of an agreement, which means that, in the worst case, customers would have to pay 12 full months for users who were licensed on the first day, even if these licenses are never needed until the next anniversary. Customers who run Microsoft EA should be aware that the agreement contains well-defined processes for adding new products to the agreement. You can add products for products that have not been ordered before, or you can add incremental use for previously ordered products via the annual “true-up” process: The unique view of the license ID in the relationship summary only indicates purchases for that particular agreement. (Quantities in the Unsolved Quantity column may be false.) At present, there is no indication that the Enterprise Agreement program offers such flexibility, although it has been available to PSC clients for five years.
If Microsoft is to continue to become a consumer-focused business model, as they say, it needs to better “manage” operations and pricing to provide the flexibility that business customers need.
